This policy explains how Synth Solar Ltd ("we", "us", "our") handles your personal information. We're a UK solar energy company that designs, installs, and monitors solar and battery systems. We also build tools like SunMapper that help people assess their solar potential.

What information we collect
When you enquire about our services
If you contact us through our website, email, phone, or WhatsApp, we collect:
- Your name and contact details (email, phone number)
- Your company name (if applicable)
- Your message or enquiry details
- Your property address (so we can assess your solar potential)
Contact form submissions are stored in Airtable, our project management system.
When you use SunMapper
Our SunMapper tool lets you search for an address to see its solar potential. We store the addresses that are searched, even if you don't provide your name or contact details. This helps us understand demand and improve our service.
When we install your system
As part of the installation process, we collect:
- Your full name and contact details
- Your property address
- Payment information (processed through Stripe or by bank transfer)
- Technical details about your installation (panel configuration, inverter serial numbers, battery specifications)
- Photographs of the installation (with your separate consent for website use)
When we monitor your system
If you opt in to our monitoring service (which is included as part of the install contract), we collect real-time data from your solar equipment including:
- Solar generation (how much electricity your panels produce)
- Battery status (charge level, power flow)
- Energy consumption and export to the grid
- Inverter performance data
This data is collected automatically from your inverter via the manufacturer's API, typically every 5 minutes. We use it to monitor your system's health, alert you to issues, and provide your performance dashboard.
When you visit our website
We use Cloudflare to host our website. Cloudflare may collect basic analytics data such as page views, country of visitor, and browser type. We don't use Google Analytics or any other third-party tracking tools. We don't run advertising pixels or retargeting scripts.
Cloudflare sets a cookie (__cf_bm) for bot protection, which expires after 30 minutes. See our Cookie Policy for more details.
Why we use your information
We use your personal information to:
- Respond to your enquiries and provide quotes
- Design, install, and commission your solar system
- Monitor your system and send you performance updates (we send monthly updates via Postmark)
- Provide your customer dashboard with live generation data
- Process payments
- Comply with legal obligations (tax records, MCS certification requirements)
- Improve our services and tools
Our legal basis for processing
Under UK GDPR, we process your data on the following bases:
- Contract: To fulfil our installation and monitoring agreements with you
- Legitimate interest: To respond to enquiries, improve our services, and store SunMapper search data
- Consent: For using your photographs and testimonials on our website (you can withdraw this at any time)
- Legal obligation: To keep financial records and meet regulatory requirements
Who we share your information with
We share your information only where necessary:
- Subcontractor installers: We share your name, address, and installation details with our installation subcontractors so they can carry out the work
- Stripe: Processes card payments on our behalf (their privacy policy)
- Airtable: Stores project and customer data (their privacy policy)
- Cloudflare: Hosts our website (their privacy policy)
- Google Cloud Platform: Hosts our monitoring API and database
- Postmark: Sends our customer emails (their privacy policy)
- Inverter manufacturers: We access your inverter data through their APIs (Solis, GivEnergy, Fox, SolaX, Growatt, SigEnergy, EcoFlow, Tesla). We don't share your personal details with them beyond what's needed to access your equipment data
We don't sell your data to anyone. We don't share it with advertisers. All our third-party providers are either UK or EU/US based with appropriate data protection agreements.
How long we keep your information
- Enquiries that don't proceed: 12 months, then deleted
- Customer records: For the lifetime of your system plus 7 years (for tax and warranty purposes)
- Monitoring data: For as long as your system is active and you remain opted in
- SunMapper searches: Indefinitely (anonymised, no personal data attached unless you provided contact details)
- Financial records: 7 years (HMRC requirement)
Your rights
Under UK GDPR, you have the right to:
- Access your personal data (we'll provide a copy within 30 days)
- Correct inaccurate information
- Delete your data (where we don't have a legal reason to keep it)
- Object to processing based on legitimate interest
- Withdraw consent for things like photo/testimonial use
- Port your data to another provider
- Complain to the Information Commissioner's Office (ico.org.uk) if you're unhappy with how we handle your data

Security
We take reasonable steps to protect your data. Our website is served over HTTPS via Cloudflare. Our database is hosted on Google Cloud with access controls. Payment data is handled entirely by Stripe and never touches our servers. That said, no system is 100% secure, and we can't guarantee absolute security of data transmitted over the internet.
Children
Our services are not aimed at children under 18 and we don't knowingly collect their data.
Changes to this policy
We may update this policy from time to time. We'll update the date at the top when we do. For significant changes, we'll let existing customers know by email.
